Why we built this,

Processing a Request for Quotation often requires information from different systems and departments. Staff manually gather product specifications, prices and other data before they can assess a request or prepare a quotation.

Missing information means more coordination is needed. Different ways of working also make it difficult to handle pricing and requests consistently. As a result, quotations take longer to complete and commercial opportunities can be lost.

RFQsync brings the information needed together in a single process. It helps staff process requests, carry out checks and prepare quotations.

What you can expect,

One overview per request

RFQsync gathers relevant information from connected systems and links it to the right request. This means employees no longer have to look up data separately or copy it across manually.

The information brought together depends on the existing RFQ process and the systems holding customer, product and pricing data.

Standard checks and a consistent way of working

The solution supports the checks needed before a quotation can be developed further. Missing or unusual information is flagged, so employees know where further action is needed.

Our approach,

  1. Analysing the existing RFQ process

    We map how requests come in, what information is needed and where staff find it. We also identify which checks and decisions take the most time.

    This shows which steps are suitable for automation and where human judgement is still needed.

  2. Connecting systems and process rules

    We connect the relevant data sources and turn the agreed checks into a repeatable process. We then test RFQsync with representative real-world requests.

  3. Starting with a defined set of requests

    We start with one type of request, product group or customer segment. This allows staff to assess how it works and makes exceptions easier to spot.

    After the initial use, RFQsync can be expanded to cover other requests, pricing rules or business units.

Not another system alongside the quotation process, but a connected workflow that brings information together at the right time.

This reduces manual research and gives you more control over the turnaround time and supporting rationale for each request.

RFQsync is designed for organisations that handle large numbers of requests or bespoke quotations and need information from multiple systems to do so. It is particularly relevant when staff spend a lot of time gathering data manually and repeating the same checks.

That depends on the available data and the rules used to calculate prices. The process can support clear, repeatable pricing rules. Exceptions, bespoke requirements and commercial decisions still need to be reviewed by a member of staff.

Not necessarily. RFQsync is designed to bring information from relevant systems together within the RFQ process. Which systems can remain in place and which connections are needed depends on your current setup. The available standard integrations have yet to be confirmed.

Automation only works when it is clear what information is needed and which steps recur for every request. If departments use different definitions or ways of working, those differences will otherwise become part of the solution. A clear foundation makes automation easier to monitor.

Start with a type of request that occurs frequently, follows recognisable steps and uses sufficiently reliable data. Highly unusual or complex requests are less suitable as a first application. Starting with a defined scope lets you test how it works before expanding the process.
